Resources / Sources, Synthesis & Referencing

Decide whether an APA source is a personal communication

Check whether readers can retrieve a source, format a private communication in APA 7, and distinguish recordings, archives and research-participant material.

Start with access, rather than punctuation. In APA 7, an ordinary personal communication is cited in the text when the reader cannot retrieve the information. A private email and a publicly available recording can therefore need different treatment even when they contain the same speaker’s words.

Check your required style and the source’s actual availability. APA’s personal-communication guidance distinguishes unrecoverable communications from archived or recorded material. Your own research participants also need separate treatment.

Establish what the reader could retrieve

For each item in your notes, write down what you consulted, where it can be found and whether it is part of your own study. A useful working note might say “private email; no public version located,” rather than merely “email.” That leaves the citation decision visible when you revise later.

The following situations, names and dates are wholly fictional teaching examples.

Item in the writer’s notes Decision before formatting
A private email from K. Desai about a detail discussed with the writer Consider the ordinary personal-communication format if no recoverable source is available
A guest talk that was recorded and made publicly available Cite the retrievable recording in its appropriate source format
A letter held in an identifiable archive Check the archival-material format
An interview conducted with a participant in the writer’s own research Follow APA’s research-participant guidance, not the ordinary personal-communication rule

Do not treat “someone said it” as the source type. Locate the version you actually used. A public recording is not turned into a private communication just because you watched it through a link a colleague sent.

Format an ordinary private communication

The University of Queensland’s APA guide shows both narrative and parenthetical forms. They identify the communicator, the communication and its date in the text; no reference-list entry is added.

For the entirely fictional private email dated September 14, 2026, the forms could be:

K. Desai (personal communication, September 14, 2026) explained the arrangement.

Or:

The arrangement was explained to the writer (K. Desai, personal communication, September 14, 2026).

These sentences demonstrate citation construction, not evidence about a real arrangement. In your paper, check what the communication actually establishes. Naming a communicator does not make every inference drawn from their message defensible.

Keep an accurate note of the date you used. Do not substitute the day you drafted the paragraph because it is easier to remember.

Revisit the decision when a recoverable version exists

Suppose the fictional guest talk later becomes available as a recording. Locate that recording, confirm the relevant passage and use the appropriate reference format for the version you consulted. Do not invent a public URL or a recording date to make the citation easier.

Likewise, do not add a private email address or paste a confidential message into the reference list merely to create something a reader can follow. This guide explains a citation decision; it does not authorise disclosure or replace applicable permissions.

Mark the exception during your reference audit

A text-only communication is not an unexplained missing entry. During a two-way citation audit, label the reason it has no reference entry. Keep that decision separate from missing author or date information, which concerns the identifying details of a source.

Before submission, check access again, confirm that the cited words or paraphrase match what you consulted, and apply any course or journal instructions. Research-participant material and Indigenous knowledge have additional APA guidance; do not force either into the ordinary example above.
